Paymo is our go-to for easy and simple time tracking & invoice creation

I started with Paymo when I started my agency 9 years ago to help track time for and generate invoices for clients. To this day we still use Paymo to track our hourly projects and tasks and find it to be the easiest and most effective way to time track individual projects and tasks and one of the simplest ways to generate invoices from those projects!

Contras:

Everything I need it for (time tracking per project / task and invoicing) is provided, so I have no cons on my end!

Comentarios: As a Project Manager, working with Paymo is central to our daily work at the agency. Having all the clients and projects organized, being able to assign each team member their tasks and exchange feedback, all on one platform, keeps me and my team much more organized and saves me many, many emails.

Puntos a favor:

The creation of Projects and Tasks is easy and intuitive. Having the freedom to define the status of each project and create deadline alerts is also useful to ensure that each team member is on top of each task. One of the most important features is being able to exchange feedback in each task, keeping the conversation organized. The time tracking function is also very important to ensure that we are always on track with the various tasks and that we budget projects correctly.

Contras:

The desktop app has been updated and works better but could still improve. The mobile app is still confusing and hard to work with, specially when, as a Project Manager, I have multiple projects with infinite tasks assigned to me.

Monopolize you cause you can't export ANYTHING easily

Comentarios: Would NOT recommend it to anyone who has even the slightest of "outside the box" process for projects or billing/invoices.

Yet another system that after several months of use only did what we needed it too at 75% of the way, then AFTER buying into the "huge discount" and special they had going, did I find out they do not allow refunds at all! If you put ANY data into the system and ever need to export it for any reasons ...find a data entry person and hope you didn't enter a lot of information because unless you are a developer that can setup custom API's...your info is stuck in their system! You can enter clients, companies, etc. and change view to "Table" and see it in table mode, but that view still only gives you the general company information, NOT the contacts for that company and that is 1 of 2, yes that is right 2 places in the entire system of everything you may have entered where you can download/export that view into Excel/CSV file....everything else is PDF if you are lucky!! If you are a VERY small, VERY basic bookkeeping/accounting freelancer (NO TEAM, just you and very basic billing) - fine, it may work...but if you have more than 1 person in your team other than you, have different rates or even the SLIGHTEST out of the norm billing or cycles...GOOD LUCK!!! I am furious with this system after being told what it could do and I explained in detail, and "oh yeah, that is not a problem at all"...only to find out, everything I explained about what we needed, went in one ear and out the other just to make the sale...now I have a barely usable system and wasted $$$$!!

Contras:

Can't export anything unless you have a developer standing bye. System is very "inside the box" thinking even after being told it would easily do what I had explained that I needed it to do support seems to take longer than usual and they are quick to respond with an answer that has NOTHING to do with what you originally asked (bots maybe?!?!) Can't get a refund, no matter how many lies they told you to make the sale in the first place!!!

Hi Cameron, Sorry to see you disappointed. Our goal is to help you improve the way you work, not to sell you on something. Indeed, you can export client, project, user lists, as well as time reports in csv format - invoices and Gantt Charts are available in PDF only. However, due to the fact that there's no standardised data structure for project management data, the only practical way to export it is via our API. And no, we're no bots, and don't force anyones hand to make a sale.

Paymo represents agility in the execution of projects and quality assurance.

Comentarios: Paymo is an effective platform, which does not require a learning curve on the part of the people who use it, in addition to the fact that many business rules associated with the execution of projects are already implemented. On the other hand, we have visibility for the prioritization of tasks, the notification to the participants of each activity, and in general, Paymo can grow based on the needs and projects that our organization can handle.

Paymo focuses on providing a simple and efficient platform, with the implementation of those functionalities that really generate value, in addition to offering a fairly complete Dashboard for generating reports and useful information for stakeholders. With Paymo we keep our work team focused, in addition to having the mobile APP to be able to record progress directly from where we are, in real time, and notify about progress. People and users can work on more than one project at the same time and each of them knows the tasks they must perform, the times in which they want the activities to be completed, as well as being able to attach support information.With Poymo we can register with the Timer option the work dedicated to each activity and in this way we can give greater visibility to the Project Management.

Contras:

Paymo has demonstrated that it meets the objectives of any project, and they are precisely: being able to offer visibility for the fulfillment of each and every one of the tasks, also guarantees that team members have delivery dates at hand and can report the advances, considering the participation of multiple projects, however, it may be that for more complex projects in which team management, use of tools and acquisition of supplies for execution are required, project managers require other complementary tools such as sheets calculation to manage what we cannot detail from the software itself, however this does not apply to all projects and may or may not be a limitation in many service areas related to traditional activity tracking.

Great tool for tracking time on multiple projects and clients.

Comentarios: Overall I have had a good overall experience with Paymo. It efficiently does what I need it to do - track time. In the future I may take advantage of other features. When I have needed help, the support team has always been quick to respond.

Right now I only use Paymo to track time on various projects for different clients. I love that I can easily run a timer for a specific project and client right from the mobile app and manually adjust the logged times as needed (e.g., reduce the time logged if I forget to stop the timer). I also like that there are various options for adding time in addition to using the timer. For example, you can make a manual timesheet entry, or enter time 'in bulk' (without tying it to a specific timeframe).

Contras:

The time reports functionality can be a little confusing. There are a lot of variables to choose from, and the resulting report doesn't always seem to match up with the options I check.

Alternativas consideradas: BambooHR

Best app i know for invoicing and and managing your projects for entrepreneurs

Comentarios: I've been using Paymo for more than 2 years now, and still the best bank for the buck I know for what I need, That is make estimates and invoices, sometimes bill them trough stripes, Managing my projects and also tracking time spent on each tasks and projects.

Paymo is very flexible, It let me create easily estimates and transform them into invoice once the contract is signed, I also use it to track my time spent on each projects with their neat app, and all of that for a really inexpensive price.

Contras:

If I was nitpicking I would say the project management part lack a bit of personalization and is still a bit clunky to use for my taste, and I would love an integration with notion.

I could not run my business without Paymo!

Comentarios: I felt like I was drowning with random to-do lists and notes all over my office when I started my business. Now I know where to look for everything, and items are much less likely to fall through a crack. I have also had excellent and prompt experiences with customer service. Whenever I have had an issue, they stick with me until the problem has been solved!

Task creation and time tracking remotely are essential tools I use daily for my business. I appreciate that it integrates with my accounting software and is easy to train others to use. Running a small business is challenging, and Paymo helps me keep on track and organized.

Contras:

I do wish I could integrate some tasks into my Google or ICal. Meetings would be great if they could show up there, and I wouldn't have to input the information in two places. I don't want all of my daily tasks, but I would love site visits, out-of-office, or meetings to show up in both areas.

Comentarios: I have used Paymo since the early days of my business (2014) and whilst I have seen many other time tracking tools being suggested by other business owners, I've always been perfectly satisfied with the efficiency of Paymo.

Contras:

I probably don't take advantage of all of the features of Paymo, so there's no cons for me as I only use the time tracking and reporting features.

Contras:

I personally find that Paymo's time reporting takes to many steps. I wish there were an easy way to see how much money has been used while I am entering time in a process. Sometimes I think I am getting close to using all the time for a client's budget and I have to spend 5 minutes to run reports to know if I am right or not. I wish there was a function inside each process that could tell you how much time budget is remaining.

Tracking time and managing payments with agility

Comentarios: Back in 2009 we started a fledgling web design company called FreshSpark Creative. Paymo was just starting out and seeking customers, help and ideas. We were able to request certain features which were implemented, the foundations of what would become an excellent working relationship. In 2012 I started my second company and we had 5 full time staff using the platform in 2016. As we became VAT registered we were unfortunately forced to use Xero for our billing to comply with UK regs, but that only demonstrated how good Paymo was - Xero is incredibly sluggish, lots of micromanagement and lacks the quality of design which we strive to portray as a business. We modified the set up of our business to help deal with the issues caused by Brexit and I once again use Paymo for all time keeping and billing. Paymo has been a constant in my professional life as a business director, alongside Google Mail and Google Cal.

Puntos a favor:

Fast and effective management of time and resources. I love how easy it is to log time, create invoices and complete all my accounting obligations as a UK business owner quickly and stylishly.

Contras:

I guess my biggest dislike is the new timesheets view, the hitboxes on the time entries seem to be slightly out of sync with the visual modules. Also as I have been using the software for over 10 years, there is a lot of old data which I cannot remove in bulk.

Razones para elegir Paymo: Google tasks was good because it synced with Google Calendar, but was very limited and time consuming to use. We have always used Paymo for billing, from day dot.

Razones para cambiar a Paymo: They were overkill for what I needed, too large and cumbersome, lots of unnecessary features made my experience time consuming and sluggish, not to mention much more expensive.

Comentarios: Overall I have been really impressed with Paymo, it has merged many of the tools I would often have to use seperate services for and that alone is a massive time & cost saver. Support has been excellent in the few times I have had to contact them, & I have enjoyed implementing the service as the hub for my project management needs. I look forward to the updates the Paymo team bring in the future.

The biggest selling point for me was the project management facility alongside the app & timer for time tracking. Prior to this I had used a mix of Toggl + Trello, then when I moved to Quickbooks TSheets + Trello + Quickbooks. Switching to Paymo streamlined this so that I could do all the project management and time tracking in one suite. Quickbooks integration was a necessity also considering all my finances have been handled there too. Support has been excellent as well, tickets are resolved quickly and always someone available to give a helping hand or to receive feedback.

Contras:

The biggest con was actually a feature I asked about before signing up for a subscription. At present the task management boards have no guest access facility. This was a feature I was really looking for as previously I used Trello to share proofs & receive feedback from clients. Having contacted support they have informed me that this feature is on the roadmap and undergoing testing, so hopefully will arrive in the not too distant future. The web application could also benefit from more keyboard shortcuts as well. This is something I miss from Trello that was incredibly useful, but will mention to support as a feature request, alongside a dark mode or more options for theming the application. (There are chrome extensions that can partially cover this, but native support would be even more appreciated).

Happy to hear that we streamline not just time tracking, but invoicing (including the QB integration)! Indeed, the client portal with in-app access to guest users is our #1 priority. What do I like best - the value. When searching for a solution Paymo offered the most for the least and has been continuously working to improve the APP. I work remotely and have been using Paymo to track clients and send time reports to my office for billing a few years now and it has worked flawlessly. The time tracker is great, the time reports are great. There is, I am sure, a tonne of functionality that I haven't even tapped into but it does everything I need very quickly and cleanly. Navigating is a breeze, editing is a breeze, and exporting reports is a breeze.

Contras:

My least favorite thing is that every time Paymo refreshes I have to set up all of my preferences again. I have to switch the view, add in a filter to see the projects the way I want, adjust the Time Report forms back the way I had them set up yesterday. Just switching the view from List to Table should be something I should be able to lock-in as a default view.

Razones para elegir Paymo: We switched from the self-hosted app because keeping it updated and maintained was timeconsuming and if anything crashed on our server it was going to be a headache. After exploring options moving to Paymo for the low monthly fee made a lot of sense for something we were using every day.

Razones para cambiar a Paymo: We chose Paymo mostly for value. It offered the most (at the time - I haven't shopped around in a while) for the least and part of the criteria when we were searching to replace the self-hosted open-source software we were using at the time (I don't remember what it was called - 2014 installed through Softaculous on the cPanel). But also, we chose Paymo because the UI was great. It looked good and was really intuitive to get around the app. It has only gotten better.

Best Project Management Solution

Comentarios: It is really easy to keep track of all the work that has been done. I'm not sure if it's generally the best project management software out there, but it definitely is the best for our company and our business model.

In the beginning it was just a software that we could use to time track all our tasks and projects, but it grew on us and right now our business depends on it. It is really easy to use, very easy to keep an eye on the team, and extremely useful in keeping track of all the work that the team does.

Contras:

There are not many cons to this software, but if I had to nitpick I would probably say it could have more financial management features, since this is the software that we use for invoicing and keeping track of our finances.

The scheduling tool has been a lifesaver. We have been using Paymo for year to manage our projects. All communication is via Paymo, to ensure there is one place where all updates are available to all staff. We recently started using scheduling

Simple but great

Comentarios: I use Paymo to organise my time and projects across three businesses. I've used various task managers and high-end project management software in the past, but Paymo hits a real sweet spot for me.

Puntos a favor:

It's a really simple interface, but still has enough features to make it usable. I evaluated around ten other project management tools before selecting Paymo. Tech support is friendly and responsive.

Contras:

I'm not sure if this is just a limitation of the browser, but I find the interface a little slow at times. It doesn't really slow me down significantly, just used to using lots of keyboard shortcuts. More standard spreadsheet-style table entry would be good. But honestly, it's great.

Hi Ben, You're not wrong, the app might experience low speed sometimes (it's a combination of several factors), but we're aware of this and already take active steps in this direction. As for the spreadsheet-style input, you can go for the Task's Table View to add task details in-line, as well as the add bulk option for time tracking. Hope this helps! Marcel

Software that surves me as a freelance individual for years.

Comentarios: I use Paymo since it's the first version. Back those days I used the Paymo Plus desktop app, recording absolutely everything I do on my computer. By the end of the day, I reorganized everything. It helped me to find "holes" in my schedule, where I spent too much time on social networks and the internet.
Today I plan my week, I collect data about my tasks, searching where can I improve myself. I see how many clients do I have since I started freelancing. All of them there! I manage who is an important client, which one is the most paying one.
I often use Timesheets set to a weekly view, so I can see how much I busy this week.
A homepage quickly shows all my tasks and a dashboard helps me to see my progress.

Paymo can serve big companies with a large number of users and departments. For me as an individual, Paymo is one place for managing my clients, projects, task, and time. One of the first and absolutely necessary things for me as a freelancer is good, simple to use time management tool. Paymo has an implemented live timer that is connected to all my tasks and projects of a specific client. Not less important is the ability to produce smart time reports I send to my clients and get paid by. Half of my tasks are in Hebrew, and Paymo works just great with RTL languages. This is crucial for my time of business. The report could be set by tasks, days, or other specific categories. The timer exists in the browsers when using the softer, but it also has a completely synchronized desktop app which I use for the most, and mobile app, which I use when I work outside my office.

Contras:

Actually, Paymo has more features I'm sure I would use, like Gantt Chart, or Invoices, though this feature costs extra $19.95 per month and I prefer not to pay for it since it's not so necessary for my business.

Constantly improving

Comentarios: Flexible and suitable for a lot of different projects. We gained a lot of insight through the visual data overviews. Tool is constantly improving: new features, upgrades, interface changes for the better.
The customer service was friendly and personal. Paymo and DataFeedWatch are my two favorite customer teams. Definitly recommended!

- Great, flexible project management tool - perfectly scalable - a lot of features and handy shortcuts (saved project lists etc.) - provides a lot of insights per project and client - Very friendly and personal customer service. - Good value for the money

Contras:

- Clients did not always get the tool instantly. But recent UX changes could make it easier for them - Communication with colleagues could get a bit chaotic, takes some time to implement in the workflow. - A lot of features requires good knowledye whats the best way to use the tool, so definitly assign someone to create a team workflow.

A reliable way to track your time and obligations

Comentarios: Nowadays I use it as the primary way of knowing where we stand in terms of workload and obligations. I can easily know what the team hast to do, and what are the tasks' statuses, and whether they are under budget.

Puntos a favor:

What I like the most is how it helped me have a grasp of the worked time, which in turn helped me structure prices and give estimates and deadlines.

Contras:

I use the team scheduling a lot, but I still miss the ability to navigate directly from a task to its booking.

Good Product but needs to be Streamlined

Comentarios: There are plenty of things to like about Paymo. Despite the issues I came across I still rate the product above other major tracking software.

Puntos a favor:

Easy to see how much time I worked on any given project.

Contras:

My major issue is that there were plenty of times I wanted to simply duplicate or copy over time I forgot to enter and couldn't because I wasn't given the option. Maybe that has been fixed since I have used this product, however. The timeline for viewing schedules was very hard to use and my team and I just oped to ignore our managers push to use Paymo's timeline scheduling and use google calendar.

Not sure why the Team Scheduling was hard to use, can you give us more details at support@paymoapp.com? A task calendar view is in the works, which will allow you to see task durations on a timeline (including recurring ones). Comentarios: Timekeeping. We’re able to look back at past projects to see the real time we invested in them to help make our new estimates as realistic as possible.

Puntos a favor:

Paymo allows us to track time easily and provide monthly reports to clients, as well as include PayPal functionality for invoices. The Paymo team is quick to communicate when we have issues or feedback. Other similar products have tried to sell themselves to us but we tell them we’re 100% happy with Paymo.

Contras:

The only improvement right now I’d like would be to convert monthly time reports into invoices for our clients who we invoice monthly for our hours.

Appreciate you, Brian, for being loyal!! I know how crowded the productivity market is today, so this speaks a lot. What you're telling me leans more towards a monthly retainer functionality - correct me if I'm wrong. Please write/upvote this suggestion on our community forum along with the use case so we get more insight into the problem. And others, who share the same need, can upvote it too.
